First of all, we collect the personal data you provide us, e.g. when you leave us a message via the contact page of our website, when you send us your C.V., when you sign up to one of our training courses, etc.

Febelfin Academy may collect anonymous or aggregated information such as your browser version or IP address, the operating system you use or the domain name of the website which directed you to the Febelfin Academy website. This allows us to constantly optimise the Febelfin Academy website for you as a user.

In addition, your personal data may be communicated to us through other sources, e.g. if you act as a contact person for a financial organisation, through cookies when you visit our website or through identification verification when you visit our premises, etc.

2. What type of information do we collect?

We limit the processing of personal data to prevent excessive processing of personal data. At Febelfin Academy, your data will therefore be processed in a way that is adequate, relevant and limited to that established by law.

Here is an overview of the data we can* collect:

*Some data are mandatory for operational reasons related to your training. These are mandatory fields to be filled in the online registration form on the website/learning platform.  Other data are optional. You can give them to us if you wish so.

We process the following data:

We collect the content and other information you provide when you use our services and training solutions. We also collect information about how you use our services, including the types of content you view or engage with, or the frequency and duration of your activities.

If you use our services for financial transactions, we collect information on the transaction. This includes your payment information, including your bank account number.

We collect information when you visit or use our training solution applications. This includes information about the activities you undertake, your use of our services and the information you leave on our applications.

We receive information on you and your activities on and from third parties, such as information from a partner when we jointly offer services.

3. How do we use this information?

We only process personal data for specific and well-defined purposes, and we will not process your personal data for purposes that go beyond what you can reasonably expect from us.
We may process your personal data for the following purposes (without limitation):

4. Taking part in events organised by Febelfin Academy

The data that you provide us with when registering for the event are processed to follow up your registration (invitation, confirmation of receipt, additional information about the event, billing (if appropriate), etc.). We can also store your feedback in the context of satisfaction surveys or any complaints.

For certain events, the participants receive a simplified list of participants with the surnames, first names, positions and organisations of the participants. During certain events, pictures of the general atmosphere and photos of participants may be taken to illustrate and support the activities and mission of Febelfin Academy.

Purpose

The purpose of this processing is the organisation and management of events by Febelfin Academy, including invitations and registration, and related direct mailing.

Personal data categories

We process the following data:

How do we obtain your data?

In principle, the data are obtained directly from you. If and insofar as data are obtained via your company, you are informed of this in a confirmation e-mail.

Recipients

Your data are processed internally by the services that need them to organise the event. A sub-contractor may be called upon for the organisation of events. This is always done under the control and responsibility of Febelfin Academy. For an event that is organised with a third party, your data are shared with this party, albeit only for the registration for the event and the related follow-up.

Retention period

The data obtained in the context of event management are kept for no longer than one month after the end of the event.

5. What is the retention period for this information?

Febelfin Academy will, if necessary, keep your personal data for its activities, e.g. to have proof of your attendance on your programme of study or for legal requirements. Febelfin Academy is required by law (e.g. vis-à-vis the FSMA) to store your personal data for up to 10 years in order to prove your professional knowledge (access to the profession) or your continuing education.

6. How is this information shared?

If your employer/(affiliated) organisation is in charge of your training/examination/retraining, the person named as the contact person within your organisation will have access to your registration, training, results and certificate data (obtained from your former and current employer) for organisational reasons. This person is responsible for the facilitating your registration and/or payment and/or the management of training courses and/or the presentation of your certificates to supervisory bodies. With an existing profile, you are able to change the e-mail address associated with it and to link it to a (new) employer (you send an e-mail to info@febelfin-academy.be). In this case, the new employer will have access to all the courses/certificates you have obtained in the past. You can remove this link at any time.

If you participate in training courses, working groups or meetings, we register your participation in these. Certain contact data (in particular your professional data and contact details such as position and company, e-mail address and professional telephone number, etc.) are used to invite you, provide reports, send communications. The other invitees will also have access to this data.

Your personal data may be transferred to third parties who provide us with specific products or services such as:

In these cases, we ensure that third parties only have access to personal data for which it is necessary to perform the specific tasks required and undertake to treat the data securely and confidentially and to use it in accordance with our instructions.

We would like to point out that some of these third parties are independent controllers of the personal data they process in connection with the services we offer.

We would also like to confirm that we do not sell your personal data to any third party for commercial purposes.

Your personal data may be transferred to destinations outside the European Economic Area (EEA). For transfers to destinations outside the EEA, we will ensure that the transfer takes place with appropriate safeguards. Some destinations have received an adequacy decision from the European Commission. Such an adequacy decision recognises that the legislation of that destination provides an adequate level of data protection from the perspective of European data protection law. Where personal data is transferred outside the European Economic Area (EEA) and where the level of protection for personal data is not the same as in the EEA, we provide appropriate safeguards in the form of standard contractual clauses. Thus we can be sure that your personal data transferred to third parties outside the EEA is treated with the same level of care as in Belgium.

If you would like to receive more information on the third parties to whom we may disclose your personal information in accordance with the law or as part of a service we have entrusted to them, or on the appropriate or suitable safeguards when data is transferred abroad as mentioned above, please contact our Data Protection Officer: communications@febelfin-academy.be

7. How do we secure your information?

Febelfin Academy is committed to continuously securing your data. To this end, we have adopted appropriate technical and organisational measures to properly protect your personal data.

8. How do we use the cookies on our website?

Febelfin Academy uses cookies on its website, for example to improve performance, remember your preferences and present you with information that we think is interesting or useful.

Generally speaking, cookies are small data files sent by a web server that are stored on your computer. They can perform a variety of functions but generally keep a record of the websites visited. They contain a small amount of information about your visits to the website, which can be used to remember you and your preferences on subsequent visits.

Cookies can be "functional" and contain the choice of language or region of the website visitor. This allows you not to encrypt the same data a second time when you visit our website, e.g. through session cookies that store information about the user's page activities, which allows them to easily retrieve the Febelfin Academy web page.

We also process data recorded through non-functional cookies in order to carry out statistics or studies for the Febelfin Academy website and to ensure that its content and performance are improved.

Most web browsers are automatically set to accept cookies. However, you can set your browser to notify you when a cookie is sent or to prevent it from being stored on your hard drive. If you reject cookies, we cannot guarantee full access to our website; it may operate at a reduced speed or you may not be able to access all services.

You can exercise these rights with Febelfin Academy by contacting us via communications@febelfin-academy.be. We will ask you to provide proof of your identity.

We are committed to dealing promptly with any privacy complaints, as such we have procedures in place to enable us to respond effectively to any issues you may encounter.

10. How will we notify you of changes to this policy?

This privacy statement, which was last amended on 01/04/2022, may be adapted to ensure that its contents accurately reflect regulatory changes as well as changes that may occur at Febelfin Academy.
